Haltian and Alltrace: A partnership that decreased process errors by 45% in a leading university hospital

How a strategic partnership between Haltian and Alltrace delivered an asset tracking solution for one of Europe’s top university hospitals in the Netherlands.

The project in the Dutch university hospital achieved its ambitious efficiency targets, including a 10% reduction in staff walking distance, a 20% reduction in process operations, and a 45% decrease in process errors.

This hospital is known for its expertise in patient care, research and education. Typically, in a hospital of this size, logistics are immensely complex. Critical assets, from hospital beds to medical devices, must be tracked, cleaned, and deployed with precision.

The key people in the hospital knew a smarter, data-driven approach was essential. After a previous technology pilot failed to deliver, the hospital sought a robust and reliable solution. That’s when Alltrace, a specialized IoT software platform provider, and Haltian, a global leader in IoT sensor and asset tracking solutions offered a unified, end-to-end solution that was accurate, scalable and seamlessly deployed.

All these operational improvements directly contributed to a better environment for patient care. With resources managed efficiently and processes running smoothly, hospital could ensure higher continuity of care, improve hygiene standards, and enhance overall patient safety.

Solving critical inefficiencies in a high-stakes environment

Like many large healthcare facilities, this hospital was struggling with logistical challenges that directly affected its core operations:

  • Medical and logistics staff spent valuable hours manually searching for available beds and other essential equipment, pulling them away from patient-focused tasks
  • Without a clear, live view of asset locations and stock levels, proactive planning was impossible, leading to potential resources shortages on the wards.
  • The hospital was determined to avoid proprietary, single-purpose systems. They needed an open, future-proof infrastructure that could support multiple applications and prevent dependency on any single vendor.

The requirement was clear: Implement a track-and-trace solution with room-level accuary to automate logistics, empower staff and build a scalable IoT foundation for the smart hospital of the future.

A powerful partnership or a seamless result

Haltian provided the foundation IoT infrastructure for asset tracking, while Alltrace delivered the solution that turned Haltian’s asset location data into intelligent and automated actions.

Haltian supplied its wireless asset tracking solution, including unique energy harvesting locators that collect their energy from ceiling lights, asset tags that were attached to the tracked hospital beds and wireless gateways for cloud connectivity.

The entire system was designed to operate autonomously on a cellular 4G network, completely independent of the hospital’s internal IT infrastructure. This eliminated security risks and the need for complex integrations, enabling a quick and non-disruptive rollout. This allowed Alltrace to focus on their core competency: building powerful automations on their software solution.

Alltrace’s software platform was the user-facing solution that seamlessly ingested the real-time location data from Haltian’s solution and translated it into automated workflows. For example, when a bed was moved to a designated cleaning area, Alltrace system automatically generated and assigned a task to the logistics team, optimizing routes and merging jobs for maximum efficiency.

This two-part solution gave the hospital the best of both worlds: best-in-class data source and best-in-class software, working in perfect harmony.

The philosophy of a hospital owning its data was central to the project’s success. It empowered hospital with full ownership of its data and infrastructure, transforming IoT from a simple tool into a strategic asset for its operations.

Driving efficiency, accuracy and a better patient experience

Like many large healthcare facilities, this hospital was struggling The deployment was a resounding success, validating the power of the Haltian – Alltrace partnership and exceeding the hospital’s key performance indicators.

Key outcomes included:

  • The pilot achieved its ambitious efficiency targets, including a 10% reduction in staff walking distance, a 20% reduction in process operations, and a 45% decrease in process errors.
  • The joint solution delivered consistent room-level tracking with an accuracy of  1-5 meters, eliminating guesswork and drastically reducing search times.
  • Tasks were automatically generated in under two minutes once an asset was moved, ensuring logistics staff were deployed with maximum efficiency.

In addition, the solution earned high user satisfaction scores, allowing hospital staff to adopt it quickly and focus on their core duties.
